What we collect and when

We collect only the personal information that you enter into the enquiry form on this website or send to us via WhatsApp. Through the form, we collect:

  • Your name
  • Your email address
  • Your phone number, if you choose to provide it
  • Your country of residence, if you choose to provide it
  • The programme you are interested in
  • Any information you include in the message box

Please do not submit health information, immigration documents or financial details through this form. Should such information be required during an application, we will advise you how to send it securely.

If you contact us via WhatsApp, we receive your telephone number, your WhatsApp profile name and the content of your messages. We use this information solely to respond to your enquiry. These messages are transmitted by WhatsApp, which is operated by Meta under its own privacy policy. This website does not load any content from WhatsApp; the WhatsApp buttons are standard links which open WhatsApp only when selected.

Cookies

This website does not set any cookies on your device, does not use analytics or advertising trackers and does not load fonts, scripts or images from third-party services. No information about your visit is shared with third parties. Cookies are set only for staff who log in to administer the site.

How we use your information and our lawful basis

We use the information you provide to respond to your enquiry, to send you the information pack you requested and, where relevant, to guide you through the application process. Our lawful basis is your consent, which you give by ticking the box on the enquiry form. You may withdraw your consent at any time by emailing us; this will not affect the lawfulness of any processing carried out before your consent was withdrawn.

We do not sell your information, share it with agents or recruiters or use it to build advertising profiles.

Who else has access to your information

Your enquiry is stored on this website and sent by email to our Admissions Team. It therefore passes through our web hosting provider and our email provider, both of which act as processors on our instructions and may not use your information for their own purposes. This website is hosted by GoDaddy on servers located in United Kingdom. Our email service is provided by [Microsoft 365 through GoDaddy / GoDaddy Professional Email].

How long we retain your information

We retain enquiries that do not lead to an application for 24 months from the date of last contact, after which they are permanently deleted. Records relating to enrolled students are retained for as long as the awarding body requires. We do not keep personal information for longer than is necessary.

Your rights

You have the right to request access to the information we hold about you, to have it corrected if it is inaccurate, to have it erased, to restrict its processing and to receive it in a portable format. You may also object to our use of your information and withdraw your consent at any time. To exercise any of these rights, please email info@elmbridgecollege.co.uk; we will respond within one month.

If you are dissatisfied with the way in which we have handled your information, you may complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or by telephone on 0303 123 1113. You are entitled to complain to the ICO directly without first contacting us.

If you are outside the UK

As our programmes are studied online, many of those who contact us live outside the UK. Wherever you are based, your information is handled in accordance with UK data protection law and the rights described above apply to you. Our hosting provider stores this website’s data within the European Economic Area, which the UK recognises as providing an adequate level of data protection.

Changes to this notice

If we change the way in which we handle personal information, we will update this page and revise the date shown above.
